IS YOUR STAFF READY?

- Check the testing dates
- General security and confidentiality training - ALL campuses
- Test Specific Training - ALL campuses
- Oral Administration Training - anyone administering an oral admin
- Online Test Administrator Training - anyone administering online
- Large Print Test Administrator Training - anyone administering LP
- Any make up trainings
- Provide griddable transcribing training to anyone who that would apply to. (Available two weeks prior to testing.)
- Make sure your test administrators have the APPROPRIATE MANUALS!
- STAAR Test Administrator Manual Grades 3-5
- STAAR Test Administrator Manual Grades 6-8
- STAAR EOC Test Administrator Manual
- How will you check materials in and out
- Cell phone plan - students and staff
- Who will monitoring during testing
- Who will give test administrators (TA) breaks - must be a trained TA
- Lunch plan
- Bathroom monitors
- Custodial plan - let them know of any special requests or needs
- Parents know about campus changes for these days (closed campus, lunch deliveries, etc.)
- Calculators & dictionaries (Jr High/High School)
- Make sure diagnosticians know about the Designated Supports Requiring TEA Approval requirements. Submit request form to S. Kuhrt by March 23rd.
Are you prepared for the LOGISTICS of testing?
Make sure you verify testing and Designated Support information with special programs.
- Special Education decisions - will upload into TestHound from ESPED
- 504 decisions - will upload into TestHound fromSkyward
- LEP decisions - will upload into TestHound from ESTAR
- Collect designated support information from RTI/SST/Other decisions and hand enter into Testhound
- Choose appropriate version of test paper/online
- Set up testing rooms
- Assign students to rooms
- Assign teachers as test administrators
- ECO DIS status
- LEP status
- GT status
- SPED status
- CTE status
- Birthdates, social security numbers, names
- Make note of new or withdrawn students
- Make plans with PEIMS personnel for "New to Texas" documentation.
- Keep up with your NEW students in your TestHound alerts! Very important!
- Rearranging classrooms or labs and schedules
- Displacing classrooms
- Coverage: Lunch, Restrooms, Trained TA Break Relievers
Are your MATERIALS ready?
When materials arrive, verify your order is correct.
- Scan packets into Test Hound within 24 house of being notified you can scan.
- Make sure you received the appropriate number of answer documents.
- Do you have blank answer documents for new students? If not, request more from Kari ASAP.
- Do you have your Large Print tests?
- Make sure you assign Form 1 booklets to read all oral administration groups.
- Assign the test administrator a booklet for a read all oral administration group.
- Print labels for student booklets - do not put these in the name blank! (Remind staff that students must STILL write their names in the blank on their booklet as that is part of their instructions)
- Make sure you are attaching the correct label to the correct booklet!
Prepare your TEST TUBS. Be sure to include:
- Answer Documents
- Test Booklets
- TA Manual
- Testing Do Not Disturb Sign
- TA First Hour Checklist
- Restroom pass
- Test Day instructions
- Cell Phone Policy
- TestHound Materials Control that includes the seating chart
- Lunch counts (if applicable)
- Attendance Roster
- Room Accommodations Roster
- Pencils
- Student specific designated supports - Supplemental Aids, Manipulatives, Colored Overlays, etc.
- Griddable Question Student Documents (for transcribing only) - must print from ETS a week before the test when it is posted
- Student Test Tickets (for online testing)
- Double Check ALL your small group tubs
Are you ready for TEST DAY?
Make plans for checking materials out.
- Determine which staff will assist in this process.
Make plans for test day
- Extended day testers
- Lunch
- Consolidation plan for students still testing
- Students who take medication
- Use forms or checklists that work for your campus
- Desks facing same direction
- Desk area clear of backpacks | can have an instructional activity or book under desk to work on when student is finished testing
- Secure student cell phones according to campus policy
- No electronic devices allowed
- Instructional materials that are a source of direct answers removed from walls
- Leave a checklist of things that need to be corrected
- Monitors may be principals, APs, CTCs, district office personnel
Make plans for snacks
- Your school cafeteria may be able to order snacks with 2 week notice
If something doesn't go as planned...
- Tell your principal FIRST
- Contact S. Kuhrt on her cell phone
- Get forms completed by staff or students before they leave that day, if instructed to do so
- Incident report form should be complete in Eduphoria Formspace before you leave for the school day...complete report the day of the incident
- S. Kuhrt should always be called prior to reporting in Eduphoria Formspace
Are you ready for it to be OVER?!?
Have a plan for how you will collect materials when they are turned in
- Count all answer documents and books when TA checks them in | verify book numbers against material control form
- Separate absent student materials from tested students immediately
- Absent student answer docs and books go in one bin
- Make arrangements for make-up testers
- Completed student answer docs go in another bin
- Used booklets go back in the bin and are ready for scanning back into TestHound later
Verify all answer documents have been returned
- How will your TAs return ans docs to you? Alpha list, by teacher?
- You MUST have an answer document or "voided" answer document for each student enrolled in a test grade level
- Group them by test or subject
- Form 1 booklets do not need to be separated
Get materials ready for return
- Complete turn in forms
- Work with team to triple check documents (score codes, hand bubbled demographics, form numbers, correct count of scoreable documents).
- Bundle documents for return (by 50s) - class and campus ID sheets.
- Count scoreable documents & voided documents to ensure your final count matches your skyward enrollment count for the grade or course plus retesters for EOCs
- Print Test Hound Boxed Booklet report and place in binder
- Make sure correct designed supports are bubbled on answer documents
Enter accommodations into online system
- Enter under test tab
- Enter any updates to demographics in online system
- Student authorization letters
- Typed or handwritten responses that were transcribed
- Any scratch paper, formula charts, etc. that have student work or notes
