Materials Exchange Day Procedures
We want to first take a moment to express our sincere gratitude to all of our families for your support during this unexpected transition to eLearning. Your encouragement for us and your support of your students’ learning while at home, especially, has been so appreciated during this challenging time. We could not have done this without you!
We are now turning our attention to the end of the school year. We have been working on plans to help our students retrieve their personal belongings and other items from school, and turn in district-owned items such as library books, classroom novels, and other district materials on an assigned date and time May 19-21 from 8 a.m. - 4 p.m. Our plan was created to allow for the most efficient and effective exchange of items while ensuring the safety and well-being of our students, families, and staff members.
Additionally, students involved in Athletics, Fine Arts (Band/Orchestra/Choir), or Cheer will also receive separate communication regarding an exchange of materials from these programs which will take place on May 18 from 5 p.m. - 9 p.m.
In order to ensure that students have devices available for eLearning through the end of the school year, Chromebook and power cord/charger return will also occur on a different date/time, and will be communicated separately.
Please read through the important instructions below regarding the procedures for our Student Exchange of Materials. A traffic flow map and your student’s assigned date/time, based upon your student’s grade level and last name, is linked below.
Student Exchange of Materials Instructions
What to do before you leave home
- Please write your student’s first and last name, grade level (6, 7, or 8), and locker number visibly (dark ink/marker) on a piece of paper to hang/post in your car passenger side window. Students may find their locker number by logging in to HAC.
- To find locker numbers: Student must login to HAC. Click the “registration” icon at the top of screen. Student locker information will be displayed (right-side of screen).
- Please bring any library books, classroom novels, and/or textbooks (not consumable/workbooks) and have them set aside in a space within your trunk, ready for pick-up. Please do not bag up all of these items together; please separate them out for us.
- Please come during your designated time on your student’s grade level day, as we will have your student’s personal belongings ready during these times.
- If you have sibling students in different grade levels, you may come on either of the grade level materials exchange days during the assigned time per students’ last name (see exchange day schedule below).
- If you have siblings with different last names (same grades or different grades), please list both names, grade levels, and locker numbers visibly on a piece of paper to hang/post in your car passenger side window.
- You may come to any of the appropriate grade level exchange days during the assigned time for either of your student’s last names (see exchange day schedule below).
When you arrive on campus
- Please stay inside your vehicles.
- Please watch for staff members directing traffic, and asking you to stop or move forward. We appreciate your patience and cooperation during this process!
- Please ensure that your student’s name, grade level and locker number is visibly posted in your vehicle passenger side window.
- A staff member will ask you/motion to you to please open your trunk.
- Personal Items have been bagged up and will be placed in trunks/back of the vehicle by staff. These personal items include all locker contents.
- Items that may have been left in teacher classrooms, such as journals / binders / art projects / portfolios may be picked up in the fall or at a later date when it is appropriate.
- Staff will remove district-owned items such as library books, classroom novels, textbooks, etc. from your trunk, and check off these items on a campus inventory list.
- Once this is complete, the staff member will close your trunk, or ask you to activate your trunk closing.
- If the nurse needs to see you or return medication, you will be asked to drive to the Nurse’s Station at the main entrance. Our nurse will then return your medication or materials to you.
- You may pick-up medication before or after the grade level exchange as this is a different entrance and exit.
- If your student ordered and purchased a yearbook, you may pick-up the yearbook at this time (see traffic flow map below).
- You may pick-up the yearbook before or after the grade level exchange as this is a different entrance and exit (see traffic flow map below).
- When the materials exchange is completed, a staff member will let you know you are finished, and you are good to go!
When you arrive home:
- Please ensure to take additional precautions by unpacking student materials, disposing the bag and washing your hands for at least 20 seconds.

What is eLearning?
The FISD eLearning plan is focused on facilitating an asynchronous eLearning model. Asynchronous learning allows groups of students to study independently at different times and locations from each other, without real-time communication taking place. Asynchronous eLearning is student-centered and provides more flexibility. The idea is that students can learn on any device, anywhere, anytime and on any browser.
