We are writing to notify you of important information, benefits, and forms that you should complete within the first 30 days of your employment. Throughout this letter, you will find helpful resources to assist you with enrolling in district benefits, and understanding how your pay is calculated, and more!
Fiscal Department
The Fiscal Services department is responsible for processing payroll, enrolling and supporting employees with their health benefits, managing Frontline online timecards, Employee Self Service (ESS) Portal.

Calculation of your pay
As an employee of DJUSD in a permanent position, you are paid once a month, on the last day of the month in an equalized amount every month for the fiscal year. Based on your position’s work calendar, number of hours per day you work (FTE), salary schedule placement, your annual salary is calculated. The annual salary is divided evenly amongst the remaining months in the fiscal year. Employees do not need to record their hours worked for their regular permanent position, pay is automatic and equalized. Employees only need to report when they do not work, through our Frontline Absence Management System.
DJUSD positions and budgets are approved on a fiscal year basis, July 1 – June 30. DJUSD has positions that work unique work calendars based on the needs of that specific position. Based on the position you currently occupy, your work calendar can be either 10, 11 or 12 months per year. Employees are paid their salary during the months that they work (10, 11, 12 months), unless they opt-in to DJUSD Summer Deferred Pay, or Classified School Employee Summer Assistance Program (CSESAP). CSESAP is available for classified employees only, and the employees must elect to participate during the annual enrollment period that begins every February. For employees that want to receive a check on their off months, please be sure to complete the Pay Check Distribution Form. Employee Self-Service (ESS) Portal
Employees can view their position, annual salary, and monthly salary amount on the ESS Portal. The ESS Portal is also where you can access your paystubs, W-2s, view leave balances, and other demographic information. Please visit our ESS Portal website to view YouTube tutorials on how to register your account, and navigate around the Portal to find the information you need. Now that you have received this communication, you will receive a follow-up email that includes your unique six-digit employee reference number, required to register your account.
Frontline
Employees are enrolled in Frontline’s Absence Management and Time and Attendance systems automatically, once a week. For example, if your start date is Tuesday, that following Friday is when you are enrolled in Frontline. As a new employee here is your Frontline log-in information to report absences and complete online timecards for extra duties.
Employees working extra duties should complete their online timecards daily. Employees working extra duties, or working on a VSA must verify that their time is accurate to 15-minute increments, and comments are noted per day on what duties were performed over the extra hours.

Benefits
DJUSD employees are eligible to receive health benefits with a minimum of .5 FTE. Based on the bargaining unit, your family size and FTE assigned to your position will determine the DJUSD employer contribution available per month toward health benefits. Please visit our Benefits website here to learn more. Employees that work FTE between .5 - .999 will receive a prorated district contribution.
Benefit Enrollment Forms
Enrollment forms are required to activate coverage.
For any employee that is eligible for benefits and opts to waive coverage, a Health Waiver Form is required.
Required documents to include for adding:
Dependents: Copy of the birth certificate for all dependents under 26; medical certification for all disabled dependents.
Spouse or domestic partner: Copy of marriage license, domestic partnership certification,
or court order.
