
Centralized Printing (Update)

What's the status of centralized printing?
Over the past several months, we have been working behind the scenes to get centralized printing back on track and back on our project top priority list. There were several reasons for the delay in finalizing the project. Our original software selection (Uniflow) for the Canon Multi-functional Devices (MFDs) failed in completely satisfying our security requirements and did not match up to our backend accounting procedures as promised by our solution partner.
We also experienced several extensive supply chain delays which pushed our implementation plan out several months. For these delays, we sincerely apologize to you and hope that the delays didn’t cause you any disruptions or printing hardships.
We have changed software vendors and have completed configurations on all 24 Canon MFDs located throughout campus. With your help, we are ready to turn on the new software at each of these devices. The new software for the MFDs is called PaperCut and provides the following features!
- PaperCut will provide much-needed access to centralized printing resources to ALL students, faculty and staff. Centralized printing resources for students will be available in the Library, Blazer Hall, Whitaker Campus Commons and the Rosenstock, Tatem and Hodson academic buildings. Long term plans include providing these resources in all residence halls.
- PaperCut will support 3 ways to login. For security reasons, department codes will no longer work and were phased out.
- By Hood ID Number. ID number is your Employee ID (without the leading P and 0’s). You can find your ID Number on the front of your ID card or in Blackboard or in Self Service.
- By Hood ID Card. Scan your ID card on the card reader. You will be prompted to enter your username (without @hood.edu) and password to register your card. You will only have to do this one time. Subsequent scans of your card will grant access automatically. If your Hood ID does not have your employee ID in the lower righthand corner, it is probably an old card and you will need to have a new card issued by Campus Safety. New cards will also provide access to electronic door swipes across campus if your account is authorized.
- By Hood Username and Password. Enter your username (without @hood.edu) and password.
- PaperCut will increase cyber security at all devices by enforcing a "secure release" of all documents.
- PaperCut will support Mobile and BYOD printing. For example, printing from Chromebooks or from Android, macOS, iOS, and Windows devices.
- PaperCut will support printing, scanning-to-email and copying at each device.
- PaperCut will enable more granular administrative controls for departments and substantially reduce yearly printing costs for the campus.
- PaperCut will foster a culture of "Green Printing" across campus.

What's next?
We will transition to the new PaperCut software in 2 phases:
Phase 1
On Thursday, December 15th, we will be moving several Canon MFDs to their new “centralized” locations. After we turn on PaperCut at these locations, the login procedure will be different from what you have done in the past. Starting on Friday, December 16th, access to these MFDs will be accomplished by using one of the 3 ways listed above.
Our objectives in moving these MFDs are to provide a color MFD in each building (if possible) and to locate a color MFD in the area of highest printing demand for that building.

• AD Building 1st floor – room 118 next to the steps (color).
• Blazer Hall 1st floor (color)
• Hodson 1st floor, atrium area (color)
• Hodson 2nd floor, hallway (b&w)
• Hodson 3rd floor, hallway (b&w)
• Library 1st floor (color)
• Rosenstock 1st floor, hallway near the front door (b&w)
• Rosenstock 2nd floor (color)
• Tatem 1st floor – kitchenette area, room 111 (color)
• Tatem 2nd floor – outside moot courtroom (b&w)
• Tatem 3rd floor – kitchen area (b&w)
• Whitaker 2nd floor, commuter lounge (color)
All of these devices will be accessible to students, faculty and staff, greatly increasing access to centralized printing resources!
Phase 2
Beginning next week, the IT department will work closely with administrative assistants and departments to transition the remaining MFDs to PaperCut. Our goals with PaperCut and centralized printing are not to disrupt department work, but to enhance access, enforce the secure release of documents, improve accessibility, and most importantly, provide more robust software functionality to faculty and staff.

Once we have completely transitioned all Canon MFDs to the new PaperCut software, all of these devices will be supported by Canon’s comprehensive Managed Print Services (MPS) program which provides fleet monitoring, enterprise reporting, help desk services, total equipment maintenance, configuration and change management, consumable and supply management (e.g. toner), continuous assessment, and financial and asset management.
